Catering
Policies & Procedures
o
Bon Appétit Management Company respects the needs of all of our
catering clients. No event is too small to demand our full attention. Our menu
reflects the knowledge and skill of our chefs. We appreciate the diversity of
our clients and welcome any ideas and special requests.
o
Bon Appétit is the exclusive provider of food and beverage service
at Whitman College
Office Hours
o
Bon Appétit Catering office hours are Monday- Friday from
9:00am-5:00pm.
o
Closed some holidays. The Bon Appétit Catering Office is located
in Jewett Building.
Bon Appétit
catering services are all inclusive and include the following items.
o
Set up and clean-up of the catered event
o
All appropriate disposable ware and condiments
o
Standard black linens
o
Staffing for the event
o
An extensive eye for details
o
To help us succeed, please use the following guidelines when
planning your event.

Placing Your Order
o
Catering orders may be placed via email (first preference)
telephone, or in person.
Email orders should
be sent to brenna.frisbie@cafebonappetit.com. Telephone orders should be placed
at 206-271-7946
o
Catering orders are not booked or confirmed until you are
contacted by us with a confirmation.
o
Please place your orders at least 3 days in advance for standard
notice, 4 days in advance for banquet or served meal functions and 5 days in
advance for all groups of 75 persons or more. Proper notice enables us to
adequately order, staff and plan for your event.
o
Events requested with less than 24 hours’ notice will incur an
additional charge of $75 and limits available choices.
o
Cancellation or a reduction in guest counts not made within 24
hours prior to event may be charged for expenses up to the time of
cancellation.
o
Clients will be charged for the guaranteed numbers of guests or
the actual number in attendance, whichever is greater.
o
Room cleanup will be normally de done by Bon Appétit staff
immediately following the event. Room cleanup for late afternoon, evening and
weekend events not requiring a catering attendant to be present will be
scheduled to the morning of the next business day.
o Charges will occur for unreturned catering items
Delivery / Service
Fees
o
Delivery charge of $50 is included for all Oregon and events outside
15 mile radius.
o
Catered events that do not reach a minimum of $100 will be subject
to a separate fee of the remaining amount.
o
Service Fees- Off campus events will have a 20% service charge added on
the total.
Dietary
Restrictions
o
In the interest of providing a safe and enjoyable catering
experience, it is important that our clients make Bon Appétit Catering fully
aware (in advance) of any guest dietary restrictions, food sensitivities and/or
allergies.
o
Clients or guest with serious allergies or sensitivities should be
aware that we regularly handle and prepare eggs, milk, wheat, shellfish, fish,
soy, peanuts, tree nuts, and other potential allergens in all of our food
productions facilities.
Room Set –Ups and Reservation
o
Arrangements regarding room reservations, set-ups, audio-visual
equipment and all non-food and beverage needs should be directed to Whitman
College Conference and Events Office contact at (509) 527-5366
Alcohol Policy
o
All alcoholic beverages must be served by Bon Appétit staff in
designated areas.
o
To request alcohol at your event, a Banquet Permit form from the
local State Liquor Board is required. Please email a signed copied at least two days in advance of event.
o
Clients to provide all alcohol
o
Bon Appétit will provide one bartender for every fifty (30) guests
at events where alcoholic beverages are offered. We will charge a $26
per hour fee for each bartender, 2 hours minimum.
o
If your event involves liquor at a dinner or reception, a full bar
set-up is $4.50 per person. The bar set-up will include non-alcoholic beverages
and mixers, ice, napkins and glassware.
o
Bon Appétit reserves the right to refuse service of alcoholic
beverages to any person.
China Usage
o Unless otherwise specified, disposable service ware is included in our catered event pricing.
o
Formal service ware (china, silverware, glassware and linen
napkins) is available for most catered events. A charge of $5.00 per
person will be applied to events where such wares are requested.
o
Offsite events use of Bon Appetit formal service ware of 30 or more guest will require an additional charge of $150.
o
We are able to provide formal service ware for up to one hundred
(85) persons at any one time (available on a first-come-first-served
basis). Additional formal service ware may be rented at the client’s
expense (see Rentals & Special Needs).
Menu & Guest Count Changes
o
For parties of less than one hundred (100) persons – any
cancellations or changes to menu selections, guest counts and other event
details must be confirmed no less than two (2) business days prior to the event
date.
o
For parties of more than one hundred (100) persons – any
cancellations or changes to menu selections, guest counts and other event
details must be confirmed no less than three (3) business days prior to the
event date.
o
Event cancellations with less than the specified notice will
result in the client being charged 50% of the total contracted order price.
Event cancellations must be confirmed in writing.
o
Event cancellations occurring within 24 hours of the event will
result in the client being charged 100% of the total contracted order price
(including any charges for rented equipment, linens, floral arrangements, et
cetera.)
Prices
o
Menu prices are based on current market conditions and are subject
to change.
o
Price quotations cannot be guaranteed more than thirty (30) days
in advance.
o
Standard color linens and draping for guest dining tables and food
and beverage tables will be provided at no charge. Linen for any
additional tables needed for your event not directly used for food or seating
will be $6.75 per table cloth. If skirting is needed for your event, please
discuss this when placing your order. Charge will be appropriately based on
rental fee for skirting.
Rented
Goods & Charge
o
These may include: Extensive use Bon Appétit Catering’s own
china and silverware at another, previously scheduled event.
o
Client requests for specialty linen, service ware, flowers, or
other décor items
o
When the above mentioned additional rental needs is required. Bon
Appétit catering can facilitate these rentals and an appropriate rental charge
will be added to the event invoice based on rental prices and coordination
needs.
o
Bon Appétit catering can coordinate specific floral needs. We can
also provide floral arrangements at your event for an additional fee.
o
Outdoor events requiring a gas grill will require the rental of
such grill for use at that event. Grill rental will be coordinated by Bon
Appétit catering and rental fee will be applied to event invoice.
